This policy explains what information Victory & Vault collects, why we collect it, and what we do with it. We try to keep it short and human. If something is unclear, email us at hello@victoryandvault.com and we will explain it.
Who we are
Victory & Vault is a Canadian company that designs and ships custom championship pendants for youth sports teams, dance studios, cheer programs, and tournament organizers. You can reach us at hello@victoryandvault.com.
What we collect
Information you give us directly:
Your name, organization name, email, and phone number when you submit a quote request.
Your email address when you subscribe to our newsletter.
Your team or event logo and design details when you order a custom pendant.
Payment information when you place an order. We use a third-party payment processor and we do not see or store your full credit card number ourselves.
Any messages, screenshots, or files you send us during the design and approval process.
Information we collect automatically:
Basic visit information through our website host (Squarespace) and analytics tools (Google Analytics). This includes the pages you visit, time on site, approximate location, and the device or browser you are using.
Cookies and similar technologies. Some are essential. Others help us understand how visitors use the site.
How we use your information
To respond to your quote request and design your custom pendant.
To send order confirmations, proof approvals, shipping updates, and post-order follow-up.
To send you newsletters and product updates if you have opted in.
To improve our website and our service.
To meet our tax, accounting, fraud-prevention, and legal obligations.
We do not sell your personal information.
Who we share information with
We share information only with the third parties we need to run our business:
Squarespace (website hosting and form submissions)
Flodesk (newsletter delivery and audience management)
Stripe and e-transfer providers (payment processing)
Shipping carriers (Canada Post, UPS, FedEx, or similar)
Google Analytics (anonymous usage statistics)
Our manufacturing partner (we share only the design details required to produce your pendant; we do not share customer contact information with them)
Each of these services has its own privacy policy. We choose vendors who meet reasonable security and privacy standards.
We will also share information if required by law (court order, subpoena, regulatory request) or to protect our rights and the safety of our customers.
Cookies
Our website uses cookies for three reasons:
Essential cookies keep the site working.
Analytics cookies help us understand how the site is performing.
Marketing cookies measure the performance of our ads on Meta and similar platforms.
You can disable cookies in your browser settings. Some parts of the site may not work as well if you do.
Children's privacy
Our pendants are designed for athletes and performers as young as eight years old, but our website is intended for adults: parents, coaches, studio owners, tournament organizers, and team coordinators. We do not knowingly collect personal information from children under 13 through our website.
If a child appears in a photo on our site, it is because their parent, guardian, or team's coordinator gave us permission to share that photo. If you believe a photo of your child has been shared without your permission, email hello@victoryandvault.com and we will remove it immediately.
Data retention
We keep your information for as long as we need it to provide the service and to meet our tax, accounting, and warranty obligations. Quote requests that do not result in an order are kept for 24 months. Customer order records are kept for seven years, per Canadian tax law.
You can ask us to delete your information at any time. See "Your rights" below.
Your rights
If you live in Canada, Quebec, the United States, the United Kingdom, or the European Economic Area, you have the right to:
Ask what information we hold about you.
Ask us to correct it if it is wrong.
Ask us to delete it, subject to our legal record-keeping obligations.
Withdraw consent for marketing emails at any time. You can unsubscribe directly from any newsletter.
File a complaint with a privacy regulator if you believe we have mishandled your information. In Canada that is the Office of the Privacy Commissioner of Canada at priv.gc.ca.
To exercise any of these rights, email hello@victoryandvault.com. We respond to all requests within 30 days.
Security
We use vendors with industry-standard security: encryption in transit, access controls, secure backups. Email is not a fully secure medium. Please do not send sensitive information like credit card numbers by email.
Where your information is stored
Our website host (Squarespace) and our email tool (Flodesk) are based in the United States. Our payment processors may be in the United States or Canada. By using our site or services, you understand and consent to your information being transferred to and processed in these countries.
Changes to this policy
We may update this privacy policy from time to time. When we make material changes, we will post the new version here with an updated date at the top. Continued use of the site after a change means you accept the new policy.
